Setting up your AI receptionist
UPDATED 4 AUG 2026·6 MIN READ
Your receptionist is already written and tested before you read this — we do that during onboarding. This article is for the changes you'll want to make later: what it knows, how you edit it, and what happens when a call has to go to a person.
1. What it already knows
Everything from your discovery call: services, prices, hours, and the questions you get asked every week. If a caller asks something outside that, the AI is instructed to say so plainly and take a message rather than guess.
GOOD TO KNOW
It never invents a price. If a service isn't in what we've given it, it takes a message or offers a callback instead of quoting.
2. Changing what it knows
Open Settings → AI & knowledge. Your instructions live there as plain sentences — there is no prompt syntax to learn. Change a line and save it; the new instructions apply to the next call.

3. Transfers
Turn transfers on or off, and give it one number to try. When transfers are on and someone asks for a person, it puts them through; if nobody picks up within about fifteen seconds it takes the caller back rather than leaving them on hold, and can offer to take a message or book a callback instead.
1Open Settings → Features and switch call transfers on.
2Add the number a transfer should ring — a mobile or a handset, whichever you actually answer.
3Turn transfers off entirely for the periods you'd rather nothing rang through, service or otherwise.
4. When it doesn't know
It says it doesn’t know and offers to take a message rather than guessing at an answer. Update its instructions any time something comes up often enough that it should know the answer next time.
